English Guide for Conference Organizing
What kind of Equipment do I need? Infrared equipment uses state-of-the-art technology. Infrared equipment allows you to have up to 32 channels (languages) per room with the possibility of having an unlimited number of rooms with simultaneous interpretation at the same time. It is the only technology that can do this. The signal is transmitted in each room through one or more infrared emitter panels (radiators) that transmit the signal to the infrared receiver. The number of panels is determined by the size of the room. The receiver functions on a line of sight thus it cannot be placed in a pocket. Interpretation is only received where there is an emitter panel. The participants must be in the room to hear the interpretation. The advantage of this technology is evident in multi-language conferences with breakouts. In such events, the ability to have the same channel assigned to a language, no matter how many rooms with interpretation you have, is appreciated by the participants. For example, in a conference where there are three rooms and each room has four languages, each language is given a channel number… English channel 1, Spanish channel 2, Greek channel 3, and French channel 4. In each of the three rooms, the interpretation for these languages will always be available on these channels. There is no need for the participants to search for their language. More importantly there is no cross talk! The infrared technology is secure. Thus if you have a sensitive meeting, this is the only technology that will ensure that there is no eavesdropping. As long as the doors, the curtains or shades are closed the signal cannot be overheard. The only disadvantage to the system is that in some venues where new incandescent lights are used, interference may be caused on the first channels of the system. The solution to this is the lowering of the lights to ensure a better reception. This system can operate outdoors but since infrared operates under the same conditions as sunlight, more infrared emitter panels are required when operating outdoors. What type of interpretation booth do I need? ConEq Conference Equipment provides only ISO-4043 Sound Booths. You need to select between two types: full-size soundproof booth or a smaller size soundproof booth. The selection should be based on the size of the room, comfort level you wish to provide the participants and the interpreters, and your budget. In both cases, the interpreter booths will come equipped with the interpreter consoles, interpreter headsets and light for reading. A full-size interpreter booth is 2,40 X 1,60 (m) and comes equipped with interpreter consoles for two interpreters, headsets, a full size table, booth ventilation and lighting. The booth meets the ISO-4043 standard for soundproofing. One booth is required per language per room. The smaller size booth comes equipped with the same thinks the full size comes, with the difference that it is 80cm shorter. It is used only in cases where there is no room for a full-size booth. Remember: You need a booth per language used per room. This equipment cannot be dismantled and moved from room to room easily. What kind of microphones do I need? When you have interpretation in a room you will require microphones. Interpreters can only interpret what they can hear. Since they are working in an interpreter booth you require microphones for the participants from which the interpreters can hear what is being said. Normal wired microphones can be used for a simple head-table set-up. Ideally you should have one microphone per person but you may use one microphone per every two or three persons. Wireless microphones are excellent for speakers, either lavaliere (neck or tie) or handheld. If you have a secure conference, a wireless microphone should not be used as its frequencies can be eavesdropped. Conference microphones are excellent in a boardroom (large table with seats around), school room or U-shape set-ups. These microphones are linked together and they usually have a ring luminant (light) to indicate who is speaking either at the base or head of the microphone. They come with a built-in speaker eliminating the need for sound speaker. Depending on the model of these conference microphones, you can add features such as, voting, attendance registration, access control, delegate database and many others. What about sound and audio-visual? Your final requirement is to determine what other needs your meeting have. Is the room equipped with a sound system? If not how many speakers will I need? Will a projector and screen be needed? If yes, what size and what lumen power should the projector have?
